This is a remote opportunity or can be based in our Indianapolis office!

The Training Systems Coordinator role supports the training department and requires a combination of excellent communication skills, office management skills and project management skills. The position also requires a demonstrated ability to work with people in all levels of the organization to ensure cross-team functionality and ability to adapt effectively to change. In addition, there is a need for individuals in this role to work toward building strong inter-department relationships in an effort to better drive business efficiencies and provide attention to details to improve the customer experience as a trusted partner.

Training Systems Coordinator

• Serve as administrator for dual LMS systems and registration system
• Create, maintain and manage training course schedule and rosters in LMS; new courses must be added to registration/LMS system within specific timeframe
• Deliver virtual, instructor-led training to customers on monthly basis initially then quarterly thereafter
• Collaborate with Cornerstone LMS Admin team on system configuration settings and new features
• Design course curriculum for LMS users (internal and external) and provide 1-on-1 support to customers
• Research and resolve all LMS functionality issues with direct and daily communication with customers
• Collaborate with peers and external teams to determine and facilitate best practices
• Maintain and operate various technologies (GoToTraining, GoSignMeUp, etc) used in the delivery of instructional and/or interactive programs and courses
• Coordinate ILT training schedule for WFR trainers
• Deliver quarterly webinars for tips on using the Talent Central LMS
• Be a liaison with other internal groups to understand impacts to training around product, process, and tools used in implementation (= Customer Success)
• Document system procedures and train other personnel in the department to function as a backup
• Work effectively with colleagues by practicing punctuality, respect for deadlines, collaborate problem solving and honest communication
• Maintain proficiency as needed and as approved by attending trainings, reading job-related materials and meeting with others in an area of responsibility
• Create materials (job aids, learning guides, etc) to educate WFR Kronos employees, training department and managers about using dashboards and reports
• Develop/Maintain custom pages on Talent Central for learning paths
• Analyze and report on data/metrics from multiple systems
• Track escalated user problems and inform user of status; log all client problems and solutions
• Assist with special projects and initiatives as needed
• Assist in coordinating custom training projects related to KronosWorks and Partner Community Workshop
• Manage and deliver customer success surveys to student attendees on maximum weekly basis
• Create, manage and update coupon codes for all WFR customer courses within GoSignMeUp and Sharepoint spreadsheet on weekly basis (every Wednesday)
• Manage daily customer and internal email mailboxes for customer/internal inquiries requiring troubleshooting with a prompt response time
• Provide back office support for training team, when needed
• Work with internal services team to schedule customers in appropriate training
• Responsible for maintaining a high level of professionalism with clients to coordinate training dates and logistics
• All other duties as assigned.

Qualifications

• Minimum 1-year experience with a learning management system (LMS) or administration experience over a data system
• Proficiency in Microsoft Office (PowerPoint – creative presentations, Excel – reporting/formulas, Word – general communications, Outlook – managing schedules/calendars).
• Ability to learn other software applications as required of the position (Cornerstone, Captivate, GoToTraining, SharePoint, GoSignMeUp, Sales Force, Travel Bookings, Expense Reports, etc.)
• Strong analytical skills and attention to detail
• Expert skill level with data analytics and reporting tools
• Strong organizational skills
• Ability to perform independently with little to no direction post on-the-job training
• Ability to navigate and use web based applications
• Previous office/administrative experience preferred
• Self-starter and with high energy, creativity and flexibility
• Excellent written and verbal presentation skills are required
• Ability to plan for contingencies and anticipate potential challenges to minimize negative impacts and adapt to change in this dynamic role
• Capable of managing multiple projects with minimal direction
• Comfortable communicating and coordinating with all levels of employees
• Must be able to travel 10-25%.
