The Travel & Events Analyst is responsible for being the face of the corporate travel program at our Weston, FL location. This is a critical role blending customer service and travel industry expertise. The foundation of this role is a “people person” who can train, guide, assist, and educate travelers and meeting planners. There is also a substantial strategic sourcing component where the Analyst source, negotiate, and contract with venues and ancillary vendors for meetings and events. This position will report to the Global Travel Manager.

• Participate in weekly TMC calls to review operational details and issue escalations
• Respond to emails in Travel Inbox with superior customer service focus and follow up
• Become intimately familiar with online booking tools and integrations
• Build relationships with travelers and leaders at Weston location, become the “go-to” for travel and meetings, as well as have the “pulse” on feedback and traveler experience from the Weston location
• Create presentations and conduct trainings on company policy, booking, tips and tricks, etc.
• Run reports and create dashboards on a regular basis as well as ad-hoc as requested by management
• Co-Manage Strategic Meetings Management Program:
o Follow company-defined process for booking meetings, including: intake, obtaining approval, sourcing, stakeholder review, negotiation, contracting, and reporting
o Identification of best option for meetings balancing traveler experience and cost, persuasion of stakeholder to select the best option
o Aggressive negotiations with hotel partners and other vendors
• Partner closely with internal groups:
o HR/Corporate Services to collaborate on Security/Risk Management strategy execution as needed
o Finance team to ensure seamless support of global T&E expense process as well as meeting related payments
o Legal team for contract redline reviews, actively communicate industry standards
• Measure and monitor travel experience for Ultimate Software and Kronos employees identifying ways to continually improve and maximize efficiency, health and comfort for our travelers’ time on the road
• Maintain strong external focus by leveraging industry peers, organizations, associations and by continuing to build strong relationships outside of Ultimate Software and Kronos

Qualifications

• 1-3 years of related corporate travel and/or events experience
• Bachelor’s degree and/or Industry Certification (e.g. GTP) preferred.
• Familiarity with the following categories: TMC, air, car, hotel, meetings, events, technology, and online booking tools.
• Working knowledge/willingness to learn of strategic sourcing best practices, including RFP and contracting.
• Understanding of hotels, meetings and events
• Reporting experience – running reports with attention to detail, analysis and basic recommendations
• Negotiation experience, specifically with hotels
• Customer service experience, interaction with travelers

Preferred Qualifications:
• A self-starter who can independently manage multiple projects and drive savings initiatives with key partners--with minimal involvement from management.
• Outstanding negotiation and people skills are critical to this role. You are an excellent communicator and collaborator, who can build relationships at all levels.
• Excellent customer service skills when dealing with the company’s team members at all levels of the organization. Will also work with the company’s suppliers/vendors and will be required to negotiate and act as an escalation point for issues.
• Should demonstrate the desire to continually be learning and evolving.
• Must be adaptable and flexible to pivot priorities as the business environment changes at management direction.
• Strong priority management and ruthless attention to detail, including ability to prioritize multiple assignments and deadlines accurately under pressure.
• Proficient in Word, Excel, PowerPoint, online booking tools
• PowerBI, Tableau, and Concur experience a plus
