This role is part of our administration team, providing critical support to our Leadership Team (7 members) and the Marketing & Talent Acquisition functions. In this role, you will be responsible for booking travel, completing expenses and setting up meetings for the Leadership Team. You will also be required to work with the TA function to book interviews and provide ad hoc administration support to Marketing.

Responsibilities include:

Set up all Leadership team meetings and All Hands meetings

Manage and book travel including flights and accommodation for the leadership team

Complete all expense processing for the Leadership team

Arrange and coordinate candidate interviews with the hiring team, include reserving conference rooms and any necessary travel arrangements

Tracking monthly spend & monitoring available funds 

Submitting monthly report on time & within guidelines 

Raising POs and processing invoices 

Tracking collective PO & P-card actual spend vs. budgeted funds 

Maintaining inventory of marketing collateral  

Assisting with Tradeshows

Entering new RFPs into Ombud 

Exporting, proofreading, and formatting completed RFPs


Prior experience in an administration and coordination role

Strong communication and interpersonal skills required. High level of self-initiative and resourcefulness

Practice effective time management skills with attention to detail

Demonstrated sense of urgency with an emphasis on delivering results

Willing and able to adjust to multiple demands, shifting priorities and demonstrate flexibility and resilience in a fast-paced environment

Strong organizational skills

Excellent Microsoft Office skills
