Under the general supervision of the Payroll Manager, a Payroll Administrator II performs a variety of complex duties to assist in the timely and accurate preparation, processing and distribution of the payroll in accordance with established procedures and consistent with federal, state, and local and provincial legislations and a strong emphasis on customer service. Primary focus is processing payroll in Canada & France and may expand to Brazil & Mexico. This position requires high level analytical and communication skills, as well as an aptitude to perform complex and confidential duties within the Payroll Department.

Operations

• Generates payments for employees’ salaries, severance pay, terminations, beeper hours, bonuses (PBIP/referral/award), Maternity/Paternity/STD/LTD leaves, child care payments, tuitions, commissions (monthly/quarterly) and maintains appropriate records
• Performs a variety of calculation such as severance pay, retroactive pay, leaves’ top up payment for paternity/maternity/std.
• Maintains records of employees leave entitlement such as vacation, leave without pay, maternity, paternity STD, LTD, bereavement, jury duty, and workers compensation.
• Enters correct payroll category is selected for days related to statutory holidays, vacation, unpaid time off, in addition to entering project information for WFC engineering employee timecard..
• Maintains records of employees in different service providers’ web sites such as Equitable (insurance), Great West (RRSP), Federal and provincial governments.
• Performs annual bonus payment to match RRSP contribution if required by the employee
• Monthly and Quarterly payment of employer tax contributions and performs annual bonus payment to match RRSP contribution if required by the employee
• Maintain records of employees training program (Qc 1%)

System Support & Process Improvements

• Maintains Time and attendance system with pertinent employee data such as employee changes and new manager set up that ensures proper timecard generation, reporting, and access to self-service
• Assist in ensuring that external and internal systems and processes correctly compute and record time, earnings, employee benefits, special deductions, mandated benefits, taxes, garnishments and other items that affect net pay and/or company liability
• Review system release notes and legislative changes and assist in determining impact to employees and the organization
• Participates in full system testing for version upgrades and legislative changes
• Assist in implementing more efficient and automated solutions to improve the accuracy and audit trail for all payroll transactions globally

Qualifications

• Bachelor's degree in Accounting or Business Administration, preferred
• 2+ years of Canada payroll experience with some international experience, Certified Payroll Professional Certification (CPP) preferred
• Advanced working knowledge of Microsoft Excel
• Experience with payroll application such as Kronos Workforce Central or ADP and a working knowledge of Microsoft Excel
• Well-organized, extreme attention to detail and a self-directed individual
• Knowledge of current rules, regulations, laws, principles, and practices related to Canadian payroll processing.
• Knowledge of technologies, and ability to recommend changes or improvements to existing processes or systems.
• Knowledge of computer applications related to advanced query and reporting, including reporting of statistical data.
• Knowledge of preparing documentation for government audits and annual filings.
• Knowledge of basic auditing and monitoring techniques required to ensure compliance.
• Strong sense of urgency
• Ability to ensure confidentiality of sensitive information from intentional or unintentional disclosure
