The Executive Assistant provides high level, confidential executive support to the VP/GM for Latin America and their direct organization.

Duties include but are not limited to:

• Assists in the creation of executive level presentations. Gather and organize information and translate into presentation. Advanced PowerPoint skills needed
• Assists department staff in meeting deadlines for various tasks and projects as required
• Prepares travel arrangements and handles expense reports for department heads
• Organizes and schedules meetings, including contacting participants, booking rooms, and ordering catering. Prepares agenda and other materials as necessary
• Handles department purchasing card reconciliation and department billing
• Maintains operations of the department including new hire setup, liaison to facilities and IT teams
• Oversees the processing and tracking of vendor purchase orders and payments
• Negotiates contracts and coordinates corrective and preventive maintenance of the office and equipment. Supervise cleaning services. Manage office administration’s relationships. Keep up-to-date fixed assets inventory
• Maintains departmental supply levels including being main contact for printer and technical concerns
• Completes special projects and other duties as required


• Experience in similar positions carrying out the administration of general services and negotiation with suppliers
• Proven organizational skills and the ability to multi-task, with keen attention to detail
• Advanced proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint)
• Proven ability to work independently, highly organized and effective in handling multiple detail-oriented projects in a fast-paced environment
• Strong communications and interpersonal skills and a team player
• Ability to interact with various levels of business functions and professionals in and outside the organization, and to respond effectively to the needs of the business is required
• Attentive to details and results
• Must be fluent in English & Spanish (written and verbal)
