The IT Business Operations Manager (individual contributor) provides high level, confidential executive support specifically to the office of the Chief Information Officer and his staff and the IT department in general. ᅠ
• Support and maintain a strong partnership with the Chief Information Officer and his staff to ensure alignment with strategic priorities. ᅠ
• Calendar management for the Chief Information Officer to ensure timely attention to corporate and industry issues, ensuring time is allocated as needed for internal and external meetings.
• Calendar management for IT department meetings and events.
• Travel planning, coordinating meetings, conferences, and tele-conferences.
• Coordinates logistics and agendas for meetings and develops quality and timely briefing materials, including research, intelligence, issues, and objectives, as applicable.
• Oversee and direct department meetings, team meetings, and special events. This includes audio, visual, identifying, negotiating and coordinating space (hotels, meeting rooms, etc.), set up & breakdown, food & beverage, catering, decorations, assisting with coordinating curriculum, reaching out to customers, and strategy for the day.
• Prepare expense reports, assist with budget. Read, research, route and respond to correspondence inquiries; draft letters and documents, coordinate departmental communication strategies, prepare reports, memos, letters, spreadsheets and presentations.
• Create and adapt administrative office procedures as necessary; identify, develop and implement administrative workflow processes; monitor procedures and make improvements as required.
• Professionally answers phone calls, including responding to calls as appropriate using discretion and judgment, processes requests, takes messages, and delegates to appropriate party in a timely and effective manner; and screens calls and visitors allowing CIO and staff to maintain a high level of productivity and confidentiality.
• Oversee the overall daily operation, process and track vendor purchase orders and payments, negotiate contracts, manage vendor relationships, liaison and coordinate preventive maintenance and repairs on equipment; maintaining equipment inventories; evaluating new equipment and techniques; coordinate employee activities.
• Act as a project manager to improve processes, create efficiencies, and promote cooperation between functional departments.
• Maintains paper and electronic files for Chief Information Officer; complies with records retention policies and organizes files such that records can be retrieved efficiently.
• Analyze and resolve a wide variety of business operations issues and needs.
• Assist IT leaders to ensure attainment of operational goals within the department and in support of strategic objectives.
• Assists in the on-boarding process for new employees and consultants.
• Maintains IT performance dashboards and communicates results monthly.
• Lead cross functional teams as necessary and partner closely with internal business partners with rolling out program initiatives, providing feedback and recommendations to manage dependencies and intra-departmental needs, align expectations, and meet timelines.
• Develop project strategies for IT operations that convey key activities, timelines, and resources necessary to achieve project objectives. Manage projects according to plan; define project tasks and resource requirements, assemble and coordinate project staff, plan and schedule project timelines, create, gather, manage project documents and reports; provide direction and support to project team and keep people to task ensuring project deadlines are met, monitor and communicate project progress and issues to stakeholders and executives.

Qualifications

• Bachelor’s degree preferred
• Creative, energetic, “can-do” attitude with ability to change direction in a fast-paced environment
• Well organized and able to prioritize tasks and work independently.
• Ability to establish and maintain positive working relationships with a variety of personalities and complex situations
• Strong attention to detail; analytical and problem-solving abilities
• Excellent communication skills, including business writing, presentations etc and ability to manage multiple tasks at once.
