Around Spring 2021 our new Montreal office will be located close to "Marché Central" in Montreal (Sauvé/Crémazie metro - 555 Chabanel West)

4 months contract, with possibility of permanence in Montreal!
As our new Montreal-based experienced Administrative assistant, you will interface daily with our senior engineering/web development leadership team from Montreal, Kelowna (BC) and HQ/Massachusetts fully supporting daily operations of multiple executive team members. You will be part of a group of 200 employees in Montreal, 75% of them working in the engineering/development field.
Your responsibilities:
• Provide comprehensive administrative support to one and/or several engineering/Product Vice Presidents: effectively managing the time, schedules, work flow and activities of the respective VPs’ to ensure successful and efficient operation, schedules and maintains calendar of appointments, meetings, and conference calls, prepares all necessary materials for meetings, staying several steps ahead to maintain efficiency, provides travel support, both domestic and international, and oversees related logistics
• Support any facility/ Montreal office initiatives to create a welcoming and engaging work environment. Responsible for onboarding and extending contract employees
• Complete appropriate departmental purchases via Purchasing Card, reallocate charges to appropriate cost center & account line, and submit receipts to ensure compliance with company policies
• Assist the US-based Administrative Operations Manager with ongoing projects as assigned, balancing short and long-term deadlines; actively participate in process improvement processes and resulting processes. Update and follow up on delegated tasks to ensure progress and timely completion of deadlines
• Work with a team on special, non-recurring and ongoing projects and events (for instance early 2021, the installation in our future Montreal office). Coordinate audio visual; identify, negotiate and coordinate space; set up & breakdown; food & beverage/ catering; content coordination, etc
• Willingness to participate on cross-functional teams and contributes to the completion of organizational projects and goals.

Qualifications

• +2 years’ experience in a administrative assistant or executive assistant role
• Perfectly bilingual French/English (French is a must have for our Montreal office)
• Strong customer-focus and service skills
• An agile creative out-of-the box thinker and who will “sweat the details” to balance multiple global initiatives in various stages of planning
• Adaptable with exceptional multi-tasking, organizational, and time management skills to identify and balance priorities and utilize discretion when shifting to meet pressing needs
• Ability to listen and accurately follow directions and possess an energetic “get it done” attitude
• A strong plus: ability to work with remote team(s).
