**This position will be located in the new AD OPT building, near Snowdon metro (blue and orange subway line)
AD OPT (100 people) will be moving from its current location mid-March because of its growth.**

The parent company KRONOS will still be located at 3535 Queen Mary (Côte-des-Neiges metro station, blue line)

Reception Duties (40%)
• Greet guests and answer phone calls in a professional manner
• Administer incoming and outgoing mail
• Handle all incoming and going shipments/deliveries, coordinating with other offices as required
• Order office supplies
• Order business cards

Office Coordination and Support
• Go to person for all office coordination and management needs.
• Assist with coordinating onsite and offsite meetings to include scheduling, room set up, vendor relations, catering and completion.
• Assist with coordinating international and domestic travel and prepare required travel documents.
• Prepare and monitor invoices and completion of expense reports to include reconciliations such as travel, mileage, etc. (expense reports for Professional Services and Engineering Directors)
• Complete appropriate purchases via Purchasing Card or BTA card, reallocates charges to appropriate cost center & account line, and submits receipts to ensure compliance with company policies.
• Manage complete onboarding process for contractual employees and consultants as well as management contract extensions and terminations.
• PO requisitions for ADOPT
• Support special nonrecurring and ongoing projects being rolled out from the corporate office.
• Language course coordination for ADOPT (organizing every session, sending emails, gathering the forms, scheduling the classes)
• Assist with sourcing required materials
• Track and report on training outcomes. Compile training data and support Payroll team for Quebec training requirements (1% law).
• Handle new hire set-up and preparations
• Partner with local office manager to support any facility/office initiatives to create a welcoming and engaging work environment.
• Part of the Social Committee to assist and support events happening in the office
• Coordinate Iron Mountain pick up
• Other duties as assigned (e.g. employee birthdays, supporting local HR or IT team with certain requests, etc)

• Floor planning for the ADOPT office (preparing the cubes for new employees, creating SN tickets, reaching out to vendors, ordering furniture, getting quotes, coordinating the deliveries)
• Ensure coffee and kitchen supplies are fully stocked and that space is clean and inviting
• Escalate facilities issues to corporate office or to landlord
• Handle recurring catering orders (e.g weekly fruit baskets and Friday breakfast)


• College degree
• 2-3 years of experience as a receptionist, office coordinator or administrative assistant.
• Able to work independently and with a team, sound judgement, initiative and strong attention to detail
• A positive and sunny disposition at all times. Can-do attitude and willing to go above and beyond for a growing team
• Strong planning and organizational skills
• Professional communicator able to work with different groups of stakeholders
• Proficient in MS Office, Excel and PowerPoint and technically savvy
• Strong desire to learn and grow professionally
• Fluently bilingual
