DESCRIPTION OF DUTIES

In addition to other duties which may be from time to time assigned by Company, the primary position responsibilities include:

Ensure timely and accurate handling of all customer orders and related queries

• Oversee the Quote to Order process through the Oracle system which includes the quality assurance of orders, adherence to established order process guidelines and the holds release process.
• Oversee the Deal Tracking process through the Salesforce/CRM system in support of tracking quarterly sales performance. Ensure inclusion of accurate quote and order tracking in support of monthly / quarterly management forecast expectations.
• Provide operational support to the Field Sales Organization in APAC with primary offices in Australia, India and China
• Work as a business partner with Sales Leadership Team including country Sales Leaders and the Region AVP, the Regional Business Manager, Services Leadership and Legal.
• Coordinate the creation of order packages with a variety of functional resources and review in detail the contents to ensure accuracy prior to releasing to the customer. Review Contractual Terms and Conditions, Part Numbers, Pricing, and supporting documentation. Ensure response is within the documented Service Level Agreement.
• Communicate standard processes and policies regarding quote creation and order submission to sales and sales management.
• Handle customer and field inquiries in a timely manner.
• Serve as first-point-of escalation liaison between Field Operations and Corporate partners in the resolution of customer service and sales team issues.
• Carefully manage returns, credits and rebills, and respond to queries regarding invoicing.
• Meet or exceed all assigned Global Sales Operations goals related to speed and accuracy of the Quote to Order process
• Assist new sales executives in on-boarding to the Kronos organization, its processes and its protocols.
• Have a working knowledge of all software programs associated with daily administration functions and the quote-to-order process (Oracle, Salesforce, SharePoint, etc.).


Manage the Sales Operations Team

• Hire and develop all team members to support business volume
• Ensure that all employees understand business objectives, expectations and measurement criteria for their respective positions
• Ensure the team is fully versed in preparing and executing customer documents in compliance with Kronos’ defined methodology
• Provide ongoing and timely feedback to employees relative to performance and be prepared to manage necessary turnover when needed. Ensure key team success through effective motivational methods. Cross-training operational staff as needed to ensure essential coverage and back-up support as needed.
• Review and submit bi-weekly payroll data for direct reports


Other Responsibilities
• Collaborate with peers, subordinates and corporate support to develop, enhance and communicate operational processes and procedures in support of corporate objectives
• Use internet and internal tools to research and validate company information including industry size and company family tree
• Maintain Strict Confidentiality

Qualifications

Qualifications:
• Minimum of 3 years management/supervisor experience with complex teams in a virtual environment
• Strong communication and collaboration skills
• Ability to work with and communicate to all levels of the organization
• High energy, positive attitude, able to work with minimal supervision
• Strong ability to lead team and as well as participate as an effective team player
• Ability to coordinate the efforts of a variety of different individuals, cultures and personalities
• Customer service oriented
• Strong analytical capabilities
• Must be flexible to travel as required
• Associates degree preferred: BS/BA a plus
• Proficiency in Microsoft Office and Oracle with the ability to learn other software applications as required i.e. Salesforce, Cognos and SharePoint
• Excellent written and verbal communication skills with a strong customer focus
